If you are a trade show and event exhibitor, this episode is for you! I am specifically targeting those of you who are planning your first live event in the last 12-18 months or more. I will share with you 7 tips to take the stress out of trade show and event planning!
1. Dedicate some time to completing it. These shows are complex and full of detail. If you just try to do a little bit, you’ll constantly be spending time trying to figure out what was done. So set aside an hour or two, focus, and watch everything.
2. simplifyDon’t go to your next show like you were at your best before Covid. Reuse exhibits, send out less marketing materials, pre-schedule social posts, and offload some of the workload and complexity.
3. Double-check your deadlines and prioritize. Understand all the important dates you need to complete your tasks and put them on your calendar. Having a clear plan will give you peace of mind. Also, if you have multiple shows, such as in the fall, the earliest show on the calendar doesn’t necessarily mean it needs to be completed first. The show after you may have an earlier deadline!
4. Create a list Make a list of everything you need for your event and then take it to your next show. This will save time and stress because everything is on one page. Just document your process as you go along. Now this is more helpful for future events, not just your next one, so a good tip right now is…
A. Or find a list online. There are multiple solutions available on the market. Each one is different. See if there is one that is specific to your industry. At least that’s a good starting point. Then tailor it to your business!
5. Don’t reinvent the wheel! Unless you’ve made major changes, reuse banners, backdrops, displays, and even marketing materials. Also, review old paperwork and documents to help you figure out how paperwork was completed in the past, what appliances or internet were ordered, how many people signed up, and any other details.
6. representFigure out all the work that needs to be done and then assign responsibilities. If you’re the only one in the company, consider reaching out to local colleges and getting marketing interns to help with some of these tasks!
7. Give yourself peace of mind. I’ve reviewed documents dozens of times, convinced that I’ve covered everything, only to find out I missed some small (or big) detail. Contact the show producer and arrange a call Review everything you submitted with them. They will help make sure you have all the details taken care of. Then you can breathe a sigh of relief!
