The latest PULSE survey of the meetings industry, co-produced and sponsored by Cvent, shows a positive outlook for 2025 despite continuing domestic and global challenges. Compiled from 332 responses from professional planners, the report presents robust forecasts for conferences, attendance and overall industry health. The following are the main contents of the investigation:
Planners optimistic about 2025
While only 15% of planners said they were less optimistic now than they were six months ago, the majority expected a positive trajectory. This sentiment has remained consistent throughout the year, suggesting the industry is resilient and ready for growth.
Anticipated increase in meetings and attendance
The number of active meetings may have slowed compared to previous years, but the pipeline remains strong. Nearly 40% of planners expect to host more meetings in 2025 than in 2024. Additionally, attendance expectations are high, with many planners expecting attendance to be higher than or similar to previous years.
Rising costs and contract terms
Planners face more difficulties with rates, dates, costs and contract terms than in previous years. The rising cost of goods and services is currently the biggest concern, closely followed by budget constraints and the availability of venues and accommodation. These cost pressures have also led planners to change their priorities, placing sustainability and other social issues on the back burner.
Cost and quality are key factors in site selection
The cost and quality of accommodation and venues are the most important considerations for planners when choosing a conference destination. Accessibility, health and safety were also high on the list, while political, social and cultural alignment with attendees was not seen as a priority.
Hotels are back in favor with planners
Despite some ongoing issues, hotels responded more positively to the RFP and are now the second most popular vendor among planners, trailing the Convention and Visitors Bureau (CVB) by 0.05 points. 70% of planners will see a response from the hotel within 4 days of the RFP being sent out. While hotels are favored, satisfaction with other providers such as conference centers and technology providers has declined.
Booking and purchasing trends
Planners are increasingly using a range of methods to find meeting venues and accommodation, many of which rely on personal networks or dedicated supplier networks such as Cvent. Additionally, planners report that rate and availability issues make it difficult to find suitable event venues and dates.
Planners are more optimistic about meeting demand and attendance in the coming year, despite continuing challenges from rising costs and tighter contract terms.
